By engaging services, visiting this website, or providing personal information, you consent to the handling of your information as described in this policy.
Identification is required to receive clinical services. It is not practicable to provide naturopathic care anonymously or under a pseudonym.
1. What information is collected?
To provide naturopathic services, the following personal information may be collected:
- Name, date of birth, and contact details
- Health information, medical history, symptoms, medications, and pathology results
- Appointment details and consultation notes
- Payment and billing information
- Website usage data (e.g. cookies, analytics)
Health information is classified as sensitive information under Australian privacy law and is handled with additional care and protections.
2. How information is collected
Personal and health information is collected when you:
- Complete intake or consent forms
- Book appointments online, in person, or by email
- Attend consultations in person or via telehealth
- Communicate by email or through the client portal
- Use this website
Where possible, information is collected directly from you.
3. Why information is collected and how it is used
Your information is used to:
- Provide naturopathic consultations and structured programs
- Develop and manage personalised care plans
- Interpret pathology and functional test results
- Manag appointments, billing, and administration
- Communicate with you about your care
- Send newsletters and practice updates, where you have subscribed
- Meet legal and regulatory obligations
Your information is not used for purposes unrelated to your care or your subscription without your consent.
4. Consent
Health information is collected and handled only with your informed consent, and only where reasonably necessary to provide the services you request. Your consent is voluntary. You may withdraw it at any time, though this may affect the ability to provide services safely or appropriately.
5. Disclosure of information
Personal or health information may be disclosed:
- To third-party service providers who support practice operations, under confidentiality obligations (see Section 6 for named providers)
- To other healthcare practitioners, functional testing providers, laboratories, or referral providers, with your consent
- Where required or authorised by law
Information is not sold, rented, or shared for marketing purposes.
6. Third-party service providers
The following third-party platforms are used in the operation of this practice. Each is engaged under confidentiality obligations and, where applicable, their own privacy frameworks:
- SimpleClinic – practice management, online booking, and automated appointment confirmations and reminders (data stored in Australia)
- MailerLite – email marketing and newsletter delivery (data stored in the European Union, under GDPR-compliant terms)
- Heidi Health – AI-assisted clinical notetaking (see Section 7)
- Vital.ly – online supplement dispensing
- i-Screen – functional pathology ordering
Where data is stored or processed outside Australia (including by MailerLite in the EU), reasonable steps are taken to ensure those providers handle information in a manner consistent with the Australian Privacy Principles.
7. AI-assisted notetaking
AI-assisted tools (currently Heidi Health) are used to support accurate clinical documentation during consultations. These tools:
- Are used solely to assist with clinical note-taking
- Do not replace professional judgement or decision-making
- Do not retain audio recordings
- Generate text notes that are securely transferred to your clinical record
Use of AI-assisted notetaking is explained in intake documentation, and your consent is obtained prior to use. You may opt out at the beginning of any appointment.
8. Email marketing and automated communications
When you book an appointment with Simply Naturopathics, your email address is automatically added to the practice mailing list, managed via MailerLite. This list is used to send newsletters, practice updates, and health information relevant to your care.
You may unsubscribe from the mailing list at any time using the unsubscribe link included in every email. Unsubscribing from MailerLite does not affect your appointment communications. Confirmation emails and reminders are sent separately via SimpleClinic and will continue regardless of your subscription status.
Client email addresses are not used for any purpose unrelated to your care or the practice newsletter without your separate consent.
9. Data retention
Health and clinical records are retained for a minimum of 7 years from the date of last clinical contact, in accordance with health records legislation applicable in Victoria. After this period, records are securely destroyed.
Other personal information is retained only for as long as necessary to fulfil the purpose for which it was collected, or to meet legal obligations.
10. Data storage and security
Reasonable steps are taken to protect personal and health information from misuse, loss, unauthorised access, modification, or disclosure. This includes:
- Secure, password-protected digital practice management systems
- Access limited to those who need it to provide your care
- Secure transfer of clinical notes between tools
11. Website cookies and analytics
This website may use cookies and similar technologies to support functionality and understand how visitors use the site. Cookies may be used for essential website functionality and analytics. You can manage or disable cookies through your browser settings; doing so may affect some features.
12. Access and correction
You have the right to request access to the personal information held about you, and to request corrections where information is inaccurate, incomplete, or out of date. Requests can be made in writing to info@simplynaturopathics.com.au. A response will be provided within a reasonable timeframe. An administrative fee may apply to cover the cost of retrieving and providing access to your records. Where a fee applies, you will be advised of the amount before your request is processed.

If you are not satisfied with the response, you may lodge a privacy complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
